Privacy Policy
Last updated: July 2026
This Privacy Policy explains how InternalPayroll ("we", "us", "our") collects, uses and protects information when you use our website and platform (the "Service"). By requesting an account, requesting a demo, or otherwise using the Service, you acknowledge and agree to this Policy and to our Terms of Service.
Information we collect
- Account & company details you provide when requesting an account, requesting a demo, or using the Service — such as company name, contact name, email, phone and preferred subdomain.
- Company data you enter into your workspace — employees, compensation, payroll, office finances, clients, invoices and related records.
- Billing information relating to your registration and subscription fees and the payments you make.
- Usage & technical data such as log entries, IP address, device and browser information, used to operate, secure and improve the Service.
How we use information
- To provision, operate, maintain and improve your company workspace and the Service.
- To process registration and subscription billing and record payments.
- To communicate with you about your account, including transactional emails such as set-password, demo access and invoice notifications.
- To secure the platform, prevent fraud and abuse, and comply with legal obligations.
Data isolation & security
Each company operates in its own dedicated database, so one company's data is not commingled with another's, and sensitive fields are encrypted at rest. We restrict access to authorised personnel for support and operational purposes. While we strive to protect your information, security is a shared responsibility and cannot be guaranteed; see the risk notice above. Safeguarding your own login credentials and controlling who you invite into your workspace is your responsibility.
Sharing
We do not sell your personal information. We may share information with service providers who help us operate the Service (such as hosting and email delivery), and where required by law or to protect our rights. Those providers are bound to use the information only to provide services to us.
Data retention & deletion
We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes and enforce our agreements. On account termination we may delete or anonymise your data after a reasonable period, subject to legal and record-keeping requirements. Demo workspace data is shared and may be reset or purged at any time without notice.
Your choices
You may request access to, correction of, or deletion of your account information by contacting us. You can opt out of non-essential communications at any time. Some data must be retained to operate the Service or to meet legal requirements.
Cookies
We use essential cookies to keep you signed in and to operate the Service, and limited, privacy-respecting analytics to understand usage. You can control cookies through your browser settings, though some features may not work without them.
Children
The Service is intended for use by businesses and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.
International use
Your information may be processed and stored on servers located in jurisdictions other than your own. By using the Service you consent to such processing.
Changes to this policy
We may update this Policy from time to time. Material changes will be reflected by updating the "last updated" date above, and your continued use of the Service constitutes acceptance of the revised Policy.
